SharePoint & Microsoft 365 Services
People should be able to find the right document without wondering whether it is current. We plan SharePoint and Microsoft 365 workspaces around information ownership, access and the tasks your teams perform together.
Discuss your projectStructure SharePoint content for your team
We review the documents, teams and questions that shape everyday work. Site structure, naming and metadata should help users find information rather than require them to understand a complex filing system. The plan identifies who owns each area and who is responsible for keeping important content current.
Make access and sharing intentional
Internal collaboration and external sharing need different controls. We review groups, permissions and the intended audience for each workspace. Changes are tested with representative roles, including users who should not have access, so a convenient navigation link is not mistaken for a permission boundary.
Move content without losing its meaning
Migration involves more than copying files. We assess duplicates, obsolete material and the metadata needed in the new structure. Pilot moves and user checks help validate the approach before wider rollout. Handover covers publishing, document workflows and the process for creating or retiring a workspace.

Service questions and answers
Should every file from our existing folders be moved into SharePoint?
Not without a review. Duplicates, obsolete documents and unclear ownership can make the new workspace difficult to use from the start. We agree what should move, what metadata matters and who validates it. A pilot move helps check the structure and user experience before a wider migration is attempted.

How do we share a workspace with an outside organisation?
First decide exactly what that organisation needs to see and do. We review the relevant account settings, groups and sharing boundaries, then check with representative users. Links and navigation should make access understandable, while removal of access and ongoing ownership must also be planned before external collaboration begins.

What helps staff find the current document rather than a similar older file?
Consistent names alone are rarely enough. We identify useful metadata, publishing responsibilities and the way staff search for information. The workspace should explain which documents are current and who owns them. A representative set of real tasks can then show whether the structure helps users find the right material.

How do we stop the workspace becoming a collection of abandoned sites?
Define who can request a workspace, who owns its information and how unused areas are reviewed. The handover should cover publishing, access changes and retirement as well as initial setup. A manageable structure needs people and routines behind it; extra folders or automation cannot replace those decisions.
