Document Management Software

People need to find the right document and know whether they can rely on its version. Organise documents around ownership, version history, review and controlled access so staff can distinguish a draft from the current approved copy.

Structure document records and metadata

A filename alone rarely explains a document. Agree document types, owners, identifiers and required metadata. Decide how drafts differ from approved versions, and what happens when an approved document is revised. Search and filters should use fields that staff can enter consistently.

Make review and access deliberate

Route documents to the appropriate reviewers and record outcomes with their context. A rejected version should remain distinguishable from the current approved copy. Permissions need to apply to downloads and links as well as folder navigation, with a clear approach to sharing outside the organisation.

Move existing material carefully

Review duplicates, missing metadata and unsupported file formats before migration. Import a representative set, check counts and open the resulting files. Retention and deletion rules must be approved by the business; the implementation should follow those rules and make failed transfers visible.

Project deliverables

  • Document types and metadata model
  • Version and approval workflow definitions
  • Search and access-control design
  • Migration checks and operating instructions

Service questions and answers

How will users recognise the approved document version?

Use explicit draft, review and approved states with clear version identifiers. Search results and downloads should expose relevant status. A new revision must not silently replace the copy staff rely on before the required review and publication steps have been completed.

Can scanned documents be searched by their text?

Text extraction may make scans searchable, but accuracy depends on the material. Test representative files and preserve permissions on indexed content. A search match helps someone locate a document; it does not establish that automatically extracted wording is a verified business record.

How should external document sharing be controlled?

Agree which records may be shared and who is authorised to receive them. Permissions need to apply to direct links and downloads, not only folders. Define revocation and explain the practical limits once a recipient has downloaded a permitted copy.

What should happen before a large library is migrated?

Review document types, ownership, duplicates and missing metadata. A sample transfer should check counts, openability, permissions and links. Retention decisions need business approval, while failed transfers need reconciliation so the organisation knows what moved successfully and what still requires attention.
